Employees Management Section

Employees Management Section

The following sections take you  through the different steps for the configuration of the employees.

Competencies groups

This section allows to create or edit competencies groups.
Multiple competencies groups can be defined here.
Once the Competencie group has been created, the related employees can be associated to that specific group.

Employees Parameters

This section allows to add new employees in the system.
An employee will be assigned tasks by the engine. An employee might not be necessarily a User of Optima.
If the new employee is also a user of Optima, the person should be created first in SETTINGS/USER PARAMETERS
The employees are then matched with their competencies, for the system to be able to schedule tasks and associate them to the right tasks to be performed.
Use the Create button to create one single user.

Employees Status

This section allows the user to create new employee statuses or modify existing ones according to new requirements.
The status will be then associated to the employees according to their situations, so that the system knows whether an employee can be enrolled for scheduling or not.
Use the Create button to create a new status

Employees Shifts

This section allows the assignment of a particular shift for every employee for every working days.

By clicking on the Create button, new employees shifts assignment can be created.
NOTE: Make sure that all possible shifts have been created in SETTINGS/ SITES PARAMETERS / SHIFTS

Competencies

This section is a Competency Matrix that allows groups of competencies to be assigned to each individual employee.
Each row corresponds to a specific competency assigned to a specific employee.
An unlimited number of competencies can be assigned to each employee, but a row should be created for each of these competencies.

Employees Time Off

This section allows to create specific time off for the employees.
Time Off Types should be created first in Settings /Sites Parameters/ Time off Types
Use the Create button to assign a Time Off Type to an employee.
Time Off Start can be set from the calendar displayed, pick the date and adjust the hour
Time Off End should be set later than start date. if this is only one dat off, it can be set for the same date and different timing.

As per all optima pages, all entries can be edited from the edit icon.

Employees Groups

This section allows to create specific group for employees to which they will be assigned.
This is principally used for reporting purposes.
Use the Create button to create a new Employee Group
