HOW TO CONFIGURE YOUR OPTIMA LRMS®

There is a range of information that needs to be uploaded into your system so that the different types of tasks can be planned and executed

correctly according to the skills of your employees, the technical characteristics of your instruments and a range of user-defined parameters.

In addition, a range of data will also support all reporting purposes.

During the initial phase, several excel files will need to be filled up. The Optima team will then upload the files by order of their numbering.

See more information about how to filled up the Excel files:

  1. Excel file #1 - Site Master Data
  2. Excel file #2 - Users Master Data
  3. Excel file #3 - Instruments Master Data
  4. Excel file #4 - Employees Master Data
  5. Excel file #5 - Tests Master Data

However, we recommend to start first by understanding how to convert your workflows in to tests and steps and identify the parameters that will make it yours.
See an introduction below.
Don't worry,  the Optima team stays close to you. In the initial phase, we will organise a workshop to discuss your work processes and needs.

Converting your Workflows

Let´s start with an introduction to the configuration of your tests within the Optima system.

Each Test can be defined with sequentially arranged Test Steps to which a specific competence group of the employee is assigned together with a specific instrument group.

An entire Test can be assigned to the same person/instrument. Therefore, each step should be assigned to the same competence/instrument groups.

A Series of Tests might need to be designed in order to cover the whole process. Those tests should be then assigned a Test Series.

A Series of Test Series might need to be designed in order to cover the whole process. Those tests should be then assigned a Tests Group.

In case of simple process, test, test series and test group will be assigned 1:1:1

Custom Parameters

There are numerous parameters that will need to be identified during the workshop and configured specifically for your Optima system.

Here a list of parameters that can be customised, included but not limited to :
  1. Batching of Samples for a specific Tests Group
  2. Calculation of a Test Step Duration based on the number of Samples to be processed at once
  3. Definition of Instrument Minimum and Maximum Number Samples per run
  4. Scheduling priorities ( due date, stability dates, customer/project priorities ...)
  5. Assigning employees/instrument to a specific customer/project
  6. Allowing to split a Step if the engine finds a free slot shorter than the task duration
  7. Defining split % of a step duration to be performed in the first slot
  8. Indicate the engine that an instrument can run overnight ( from day 1 to day2) or even for more than one day
  9. ...
