CUSTOMERS & PROJECTS CONFIGURATION


This new feature enables you to provide additional details about your Requesters (internal or external customers) and their associated projects.
From the Configuration Menu:

It is used to:
  1. Assign priorities to your customers
  2. Assign priorities to their projects
  3. Dedicate a specific group of people
  4. Limit their dedication to the project according to contractual commitments with the customer, through FTE numbers per month or week
  5. Assign a point of contact per project for analysts to refer to
The following information allows you to provide further details for scheduling tasks associated with that customer or project.

The information that can be associated includes:
  1. Customer Name / ID
  2. Project Name / ID
  3. Priority
  4. List of employees who may be assigned exclusively to a customer
  5. Number of FTEs that may be assigned to a customer
  6. Control of the number of FTEs per month or week that may be assigned to a customer
  7. Supervisor or project manager, anyone who can be contacted as the point of contact for a customer’s project

HOW TO CONFIGURE YOURS  CUSTOMERS 

The page consists of two sections.
In the upper part, Customer List, you can configure your customers first. 
Click on the Create button, enter your Customer Name and a Priority ( from 1 upwards as needed, with 1 being the highest priority)
Click on the SAVE button



Once the customer is created, click on the (+) icon to add your dedicated employees and same for instruments
Click on the SAVE button





Projects are then created and associated with the corresponding customer in the lower part, Projects List.

Click on the Create button, enter your Project Name, Location, Project Status* , Project Type* and a Priority ( from 1 upwards as needed, with 1 being the highest priority)

Click on the SAVE button


* Project Status and Project Types can be created in Settings/ Project Parameters

HOW TO CONFIGURE YOURS  PROJECTS

Select the customer by just clicking on the corresponding customer line
Then add new projects in the Projects List interactive grid
Assign the Project Status and the Project Type  - in order to add more types see Settings/Project Types


Info
The (+) in Parameters should show your own custom parameters when used. In this case there is already the possibility to add a Point of Contact to a project for analysts to know who to refer to. This Point of contact information can be added then to the Task code or Task Description

HOW TO USE THE MASTER DATA FILE

The initial configuration during implementation time can be done through the Customer Configuration Template_2026 excel file which will be uploaded by Optima.
Idea
Please note that your Custom Request Form needs to incorporate the information about your Customer ID and Project ID.

The Excel file template contains four worksheets, which should be completed in the specified order to provide the information accurately and ensure successful upload.

1) NEW CUSTOMERS WORKSHEET

 ITEM
 DESCRIPTION
 CUSTOMER NAME
 Free text for your to provide your customer name
 CUSTOMER ID
 Free text for you to provide your customer ID
 PRIORITY
 Indicate if this customer should be treated with high priority vs others 
 FTE
 Indicate when applicable if this customer has a given number FTE assigned 
 
 FTE TIME RANGE 
 linked to FTE number to indicate of this number is to considered in a weekly or monthly manner

2) PROJECTS WORKSHEET

 ITEM
 DESCRIPTION
 CUSTOMER NAME Refer to the Name provided above 
PROJECT ID
 Free text for you to provide your project ID
 Create one line per project if there are more than one per Customer
 PROJECT PRIORITY Indicate if this project should be treated with high priority vs others
 POINT OF CONTACT
 Indicate employee name when applicable if this project has a point of contact for analysts, reviewers to refer to.
 

3) DEDICATED EMPLOYEES
